Refund & Cancellation Policy
Last updated: 15 October 2026
This policy applies to paid registrations, delegate or guest passes, sponsorships, exhibition or stall bookings, promotional packages and related services for BharatX Awards, organised by Voro Ventures Private Limited (“the Organiser”, “we”, “us”). Nominations are free; a paid registration may be offered after selection. Payment does not purchase or guarantee selection, a particular award, ranking or category.
Please read before paying: confirmed payments are non-refundable for participant cancellations, withdrawals and non-attendance, subject to the exceptions below and applicable law. Please confirm your availability, package inclusions and billing details before making payment.
1. Participant cancellation and withdrawal — no refund
Once payment is successfully received and a booking is confirmed, cancellation or withdrawal by a participant does not entitle them to a refund, whether requested before, during or after the event. This includes changes of mind, accidental bookings, scheduling conflicts, personal or business commitments, illness, family emergencies, visa refusal, travel disruption, inability to obtain leave, or dissatisfaction with a selection outcome that was not promised as part of the booking. Event planning, reserved capacity and personalised fulfilment may begin as soon as a booking is confirmed.
No partial refund or credit is due for unused seats, meals, sessions, networking opportunities, media opportunities or other included benefits where the agreed services are made available. Complimentary benefits have no separate cash or refund value.
2. Non-attendance, late arrival and early departure
Failure to attend, late arrival, missed stage calls, refusal of entry for failure to meet disclosed entry requirements, or early departure does not qualify for a refund or reimbursement of associated expenses. Participants must check event updates and arrive on time with their invitation and any required identification.
An eligible confirmed awardee who cannot attend may request courier delivery of their applicable award items under our Delivery Policy. Courier, packing and applicable insurance charges are extra. Courier delivery does not recreate or replace on-site experiences and does not create a right to a partial registration refund.
3. Transfers and substitutions
Registrations and benefits are not automatically transferable to another person, organisation, category or edition. Any substitution or transfer requires our prior written approval and may involve a disclosed additional cost. An award or selection cannot be transferred merely by transferring an attendance pass. Unauthorised resale or transfer may result in cancellation of the affected pass.
4. Changes to the event
We may reasonably change the venue, timings, running order, seating plan, stage arrangements, presenters, speakers, guests, jury composition, hospitality arrangements or delivery format where operational, safety or other circumstances require it. An advertised or invited guest’s participation is subject to their availability unless expressly guaranteed in your written booking.
Changes that do not materially reduce the agreed service do not, by themselves, qualify for a refund. Material changes will be communicated using the registered contact details and/or official website. Where a change substantially alters the paid service, any remedy required by applicable law remains available.
5. Postponement, interruption and circumstances beyond our control
The event or related deliverables may be delayed, relocated, rescheduled or interrupted because of circumstances beyond our reasonable control, including severe weather, natural disasters, fire, public health emergencies, government restrictions, security threats, civil unrest, strikes, transport disruption, power or infrastructure failures, or unexpected unavailability of the venue or essential suppliers despite reasonable precautions.
Where the event is rescheduled, confirmed bookings will ordinarily remain valid for the revised date. A postponement does not automatically constitute permanent cancellation or create an automatic refund entitlement. We will share revised arrangements when reasonably confirmed and take reasonable steps to reduce disruption. Any alternative format or substituted benefit will be subject to applicable law and any consent legally required; a materially different service will not be treated as accepted merely because we announce it.
We do not promise that an event can proceed without delay under every circumstance. These provisions do not permit indefinite postponement without addressing undelivered services or remove remedies available under applicable law.
6. Permanent cancellation or services not provided
If we permanently cancel the event without providing the agreed paid service, or cannot fulfil a material paid deliverable, we will notify affected customers and offer the remedy required by applicable law, which may include a refund for the undelivered service. A replacement event, credit or alternative service will require agreement where required by law. We will not insist that a customer accept a credit in place of a refund that is legally due.
7. Sponsorships, stalls and promotional services
Sponsorship and stall commitments may involve reserved inventory, design, printing, advertising and third-party expenditure. A sponsor’s or exhibitor’s withdrawal does not entitle them to a refund of confirmed payments. Failure to supply approved logos, artwork, content, permissions, equipment or personnel by a communicated deadline may prevent delivery of the affected benefit and does not create a refund entitlement where the failure is attributable to the customer.
No sales volume, leads, investment, audience size, publicity reach, publication placement or commercial return is guaranteed unless expressly committed in the signed agreement. Deliverables and any negotiated cancellation arrangements in a signed agreement take precedence over this policy to the extent of a specific conflict, subject to applicable law.
8. Disqualification and conduct
False or misleading information, impersonation, unauthorised use of branding, harassment, unlawful conduct or serious breaches of communicated event rules may lead to disqualification, removal or withdrawal of the affected benefits. Where lawful and proportionate, no refund is due for termination caused by such a breach. This does not permit arbitrary cancellation of a valid booking or retention of money contrary to law.
9. Duplicate, failed and unauthorised payments
The no-refund rule does not apply to a verified duplicate charge or a payment collected in error for which no corresponding booking or service is due. Please provide your booking reference, payment reference, date, amount and proof of debit. A failed or pending transaction does not confirm a booking; reversal may depend on the bank or payment provider. Contact us before paying again so we can check the transaction.
If you suspect an unauthorised payment, notify your bank or payment provider promptly and contact us. We may request reasonable verification. Nothing in this policy prevents a lawful payment dispute or complaint. Never send your card PIN, CVV, OTP or account password.
10. Approved refunds and timelines
Any discretionary exception must be confirmed by us in writing and does not change the general policy. Where a refund is approved or legally due, we aim to initiate it within 7–10 business days after verification, or sooner where required by law. Bank or payment-provider processing may take additional time. Refunds are normally made to the original payment method; any alternative requires verification and must comply with applicable rules.
Payment-processing fees, taxes or administrative charges will not be deducted from a refund that must be paid in full by law. Any otherwise permitted deduction must be disclosed, justified and consistent with the booking terms and applicable law.
11. Travel costs and liability
Travel, accommodation, visa, leave, insurance and other personal arrangements are the participant’s responsibility unless expressly included in the written package. To the extent permitted by law, we do not reimburse these third-party costs or indirect business losses arising from cancellation, postponement, non-attendance or changes to the event. Nothing excludes liability for fraud, our own actionable negligence, or any liability that cannot legally be excluded.
12. Requests, applicable terms and statutory rights
Send cancellation, payment or refund queries to info@bharatxawards.com, with the subject “Cancellation / Refund — [Booking Reference]”. You may also contact +91-11-69290974. We aim to acknowledge complaints within 48 hours and resolve them within one month, or within any shorter period required by applicable law.
This policy should be read with our Terms & Nomination Rules and Delivery Policy. The version disclosed when a booking is made applies to that booking unless a lawful change is agreed. Updates do not retrospectively remove accrued rights. Nothing in this policy overrides mandatory consumer rights, lawful refund entitlements or access to competent consumer commissions and other statutory remedies under Indian law.
